Booking & Payment Terms | My Event Concierge
When booking experiences, catering or activities:
- The client will make a deposit to secure the date for any experiences, catering & activities.
- The final balance is due 30 days before the event date. If the event is within the next 30 days when booking, then the full payment will be due upfront to secure the booking.
- By booking online you agree to our terms laid out.
Customer Cancellation:
- If there is a customer cancellation before 30 days of the event, then the deposit is non refundable. The final balance will not have to be paid.
- If there is a customer cancellation within 30 days of the event and the full balance has been paid. The deposit is nonrefundable. Then it is at the supplier discretion whether to offer a partial refund for the final balance.
Final number of guests:
- Final number of guests will be taken when final payment is due (30 daysbefore the event)
- The deposit of any drop off person is non-refundable.
- Customers can lower the number of guests at any point before 30 days of the event date to allow any changes to be made to the final balance. *As long as the number of guests meets the minimum number for the supplier.
- If the number of guest drop offs impact the cost per person that was originally quoted, then My Event Concierge will re-quote the event and the difference will need to be paid by from the client.
- If the event is over 3 month from the date of booking, the final payment is subject to change due to cost of living, food prices and petrol costs etc. Any additional charge will be told to the client before the final payment date (30 days before the booking). The final payment will then be reflected.
Marketing Terms
- By making payment of an invoice or booking online you agree that My Event Concierge Limited can keep your contact information on file in regards to booking data.
- By making payment of an invoice or booking online you agree that My Event Concierge Limited can send marketing emails promoting holiday home partners, products and services that My Event Concierge Limited offer. You may unsubscribe to these emails at any point by following the link in the email.
Unforeseen Circumstances
- Under the current circumstances, please be aware that all bookings are subject to COVID-19 rules and regulations that are set out by the government. In case your booking cannot go ahead due to these rules. We will support the client and the supplier to find an alternative date. If an alternative date cannot be agreed upon and the event date is outside of the 30 days cancellation then the deposit will be non-refundable. If within 30 days of the event and then full balance has been paid. The deposit will be non-refundable. It is at the supplier's discretion whether to offer a partial refund.
- In case your booking cannot go ahead due to other unforeseen circumstances. We will support the client and the supplier to find an alternative date. If an alternative date cannot be agreed upon and the event date is outside of the 30 days cancellation then the deposit will be non-refundable. The final balance will not have to be paid. If within 30 days of the event and then full balance has been paid. The deposit will be non-refundable. It is at the supplier's discretion whether to offer a partial refund.
- All outdoor activities are subject to weather conditions. Your supplier will make a call on whether the activity is safe to go ahead. If the weather condition is too poor and it is not safe to go ahead with the event, then a partial refund will be offered to the customer.
- It is the clients responsibility to ensure that when booking any outdoor activities that the venue has the outdoor space facilities for the activity to go ahead. If the activity cannot go ahead due to lack of outdoor space. The deposit will be non-refundable. A partial refund will be at the discretion of the supplier.
Limitation of Liability
- As the event organiser, we act as an intermediary between our clients and third-party suppliers, including but not limited to venues, caterers, activity providers, and other service partners. While we take care to source reputable suppliers, we do not directly manage or supervise the services delivered on the day of the event. All suppliers are responsible for carrying out the appropriate risk assessments, implementing necessary safety measures, and providing any warnings or instructions to participants regarding the activities they deliver.
- Accordingly, we accept no liability for any injury, loss, damage, or claim arising from or in connection with the acts, omissions, or negligence of third-party suppliers or venues. Clients and participants acknowledge that any claims relating to injury or damage must be directed to the relevant attending supplier whose services gave rise to the issue.
